Erchim Trans LLC ("we") is a freight forwarding company registered in Mongolia. This policy explains how we handle personal data collected through our website (erchimtrans.com) and the automated assistant on our Facebook Page's Messenger.
1. Data we collect
Website quote form: name, phone number, email (optional), transport type, cargo origin, and any notes you provide.
Facebook Messenger assistant: the content of the messages you send us, and the page-scoped user ID that Facebook assigns. That ID is specific to our Page and does not identify your Facebook profile. We do not access your profile name, photo, friends list, or any other profile data.
2. How we use it
To answer your shipping enquiries, prepare quotations, arrange transport, and provide status updates. We do not use your data for advertising and we do not sell it to third parties.
3. Third-party processors
Artificial-intelligence service provider: our Messenger assistant uses a third-party AI service to generate replies. The text of your message and the recent messages in that conversation are sent to that provider's servers and the generated reply is returned. We only work with providers that do not use data submitted through their API to train their models. If you would like details of the specific provider, contact info@erchimtrans.com.
Meta Platforms: Messenger conversations are transmitted through Meta's platform and are also governed by Meta's privacy policy.
Google Workspace: used to deliver quote requests and Messenger leads to our info@erchimtrans.com mailbox.
4. Retention
The Messenger conversation itself is stored on Facebook's servers and is controlled by Meta and by you — we cannot delete it. You can delete the conversation from your own Messenger, or block the Page, at any time.
Separately, we keep a short-lived copy of the most recent part of the conversation on our own server so the assistant can reply coherently. Older parts are discarded automatically as new messages arrive. This copy is distinct from the conversation held on Facebook.
Quote requests are retained in our customer records for as long as needed for the business relationship.
5. Security
Our website and webhook endpoint operate over encrypted HTTPS. Server data is accessible only to authorised staff. We do not collect payment card or banking details.
6. Your rights
You may request access to, correction of, or deletion of your personal data, and you may stop interacting with the assistant at any time. To request deletion, email info@erchimtrans.com or call +976 7509 5656. We respond within 30 days.
7. Children
Our services are intended for business use and are not directed at anyone under 18. We do not knowingly collect data from children.
8. Changes
If this policy changes, we will publish the updated version on this page with a new date.
